Responsibilities of the Local Organiser (Host)

The ultimate responsibility for the organization of the Congress of the SIOP resides with the SIOP Board.  The Board is responsible for all strategic aspects relating to the Congresses of the Society. The Board has appointed a Professional Conference Organizer (PCO) to coordinate all logistical aspects of the Congresses of the Society.

If you are appointed by the Board to host the Congress, you will be required to constitute and chair a Local Organizing Committee (LOC) consisting of yourself, a secretary, a treasurer and a maximum of 10 further active members.  
As chairman of the LOC you will also be the President of the Congress. 

One year before the congress you will be invited to attend the Board meetings. Your invitation to attend the Board meetings will last till 3 months after the Congress when the final accounting should have been presented to and approved by the Board.

As Local Host, you work together with the SIOP Scientific Committee, which is responsible for developing the scientific program of the congress. The Scientific Committee is assisted by the Central secretariat in this respect.

It is the role of the LOC to work with the PCO to provide suggestions, input and advice on all non-scientific aspects of the program.  This includes the design of a creative image for the congress, the development of the social program, the accompanying persons program, cultural, touristic and culinary aspects of the congress, etc. within the budget developed by the Board, and to submit these for approval to the Board. 

It is also the responsibility of the LOC to stay within the budget of expenses and an estimate of revenues as approved by the Board.  Further, it is expected from you to assist in the acquisition of sponsorship for the congress, to provide progress reports as required by the Board and to present the final financial accounting within 6 months after the end of the congress.

The Scientific Chairman and the Central Secretariat co-operate with the Chairman of the LOC. In case of disputes or disagreements the Board will decide.

A bank account will be opened for the finances of the Congress. Expenses not provided for in the budget are not allowed.
