BID FOR SIOP ASIA CONFERENCES

 If you are interested to submit a bid, please note the following :


  1. Make your nomination known to the President of SIOP Asia, Dr. Agarwal (deadline : August 31, 2002).   2. The Board will make a pre-selection.
  3. The pre-selected members will be invited to give a short presentation during the annual general assembly. 
  4. A ballot will be sent out among the SIOP Asia members to choose the location 
  5. SIOP Asia will have no financial responsibility. But the host will prepare the congress budget in collaboration with the President and the Board. 10% of the Registration fees to be contributed to SIOP-Asia for its activities.


In order to be considered, bids to host a SIOP Asia Meeting must contain the following information :


  1. Describe names, titles, position and resume (curriculum vitae) of the proposed Local Organizing Committee members (maximum of twelve). Prior experience of the committee members in the organization of medical conferences is welcome.
  2. General documentation on the city proposed as venue for the meeting such as population, climate, safety, cuisine, infrastructure, attractions, museums, cultural activities etc. 
  3. General documentation on accessibility of the city by air : direct flights to and from, frequency, airline company names, etc.
  4. Brief information about the country such as : political structure and stability, economy and inflation rates, cost of living, infrastructure, diplomatic relations, legal requirements for entry, customs regulations, import / export of currency, taxes, tourist information, availability of government, state or city subsidies. 
  5. Specific documentation on the proposed convention center: number and size of meeting rooms and exhibition area, floor plans, security, location, ownership, public transportation to and from, distance to downtown, distance to various hotels.
    Please describe information on dates or periods of availability. The
    conference center should be able to accommodate up to 400 participants.
  6. Give information on availability of reliable agencies for housing, transportation, audio-visual services, etc., either through city or state tourist bureaus or private companies.
  7. Documentation on hotels: categories, price ranges, distance to conference center, total number of sleeping rooms within walking distance, total number of sleeping rooms.
  8. Please mention on endorsements by local or national societies, local or national health authorities, scientific institutions, civil authorities, government etc., if any.
    Possible financial support or guarantees from local or national governments.

    Based on the bids received, the President of SIOP Asia analyzes the bids and prepares a comparison for the Board. The Board then decides which venues will be presented to the General Assembly in Porto in September 2002. The SIOP Asia members then vote by postal ballor in November 2002.

ARRANGEMENTS TO BE TAKEN INTO ACCOUNT BY THE HOST

SIOP-ASIA
 

  1. The ultimate responsibility for the organization of the SIOP-Asia Meeting resides with the chairperson of the Local Organizing Committee (LOC). However, all of the President, the Board, and the chairperson of the LOC are responsible for all strategic aspects relating to the SIOP-Asia Meeting. 
  2. If you are appointed by the ballot to the host the Meeting, you will be required to constitute and chair a Local Organizing Committee (LOC) consisting of yourself, a secretary, a treasurer, and a maximum of ten further members. 
  3. As chairperson of the LOC you will also be the President of the Meeting. 
  4. Three years before the congress you will be invited to attend the Board meetings. 
  5. As Local Host, you work together with the President and Board of SIOP-Asia, who are responsible for developing the scientific programme of the meeting. It is recommended for the chairperson of the LOC to contact with the regional office of the World Health Organization for advice. 
  6. It is the role of the LOC to design a creative image for the congress, the social programme, the accompanying persons programme, cultural and culinary aspects of the congress, etc.
  7. The chairperson of the LOC will co-operate with the President of the SIOP-Asia. 
  8. The LOC is required to absorb any financial deficit, but will not be requested to report on any financial surplus. 10% of registration fees received to be contributed to the SIOP-Asia for its activities.
